Privacy Policy for The Dressage Coach app, website, EquiGuardian and related services.
The Dressage Coach ("we", "us", or "our") is committed to protecting and respecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use The Dressage Coach mobile application (the "App") and our website (thedressagecoach.com).
The Dressage Coach is the data controller responsible for your personal data. We operate in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and other applicable laws in England and Wales.
Information we collect
We may collect, use, store, and transfer different kinds of personal data about you, which we have grouped together as follows:
- Identity Data: Name, username, and other profile information you choose to provide.
- Contact Data: Email address, billing address, and telephone numbers.
- Special Category Data (Health Data): We process health and fitness information in three distinct ways, as explained in the Health and fitness data section below: (A) Health Connect or Apple Health data read on your device for Rider Performance; (B) health and fitness information generated during Ride Tracking (such as heart rate and active energy where available from your device or sensors during a ride); and (C) Rider Performance goals and preferences you enter in the App.
- Location Data: Precise GPS location where you enable location permissions, including during active Ride Tracking sessions and active EquiGuardian safety features, as explained in the Location data section below. We also use location where enabled for venue finder and similar features.
- Technical Data: Internet protocol (IP) address, login data, browser type and version, time zone setting, operating system, and platform.
- Usage Data: Information about how you use our App, products, and services, including video uploads for coaching feedback.
- Ride Data: Ride-related information you choose to record in the App, such as GPS route points, distance, duration, heart-rate and active-energy information where available, and other ride summary or tracking information. Ride Data is stored as part of your ride history in your account and is distinct from Health Connect data.
- Horse Data: Information regarding your horse(s), including name, age, breed, and training level.
- Marketing and Communications Data: Your preferences in receiving marketing from us and our third parties.
Minimum age
The Dressage Coach is intended for users aged 13 and over. Users aged 13 to 17 are encouraged to use the service with the involvement of a parent or legal guardian. If you are under 18 and use EquiGuardian or My Circle, we recommend that your Circle includes a parent, guardian or another trusted adult.
How we use your information
We will only use your personal data when the law allows us to. Most commonly, we use your data in the following circumstances:
- Performance of a Contract: To register you as a new member, provide coaching services, and process payments.
- Consent: Specifically required for the processing of Health Data and Location Data.
- Legitimate Interests: For running our business, provision of administration and IT services, and network security.
- Legal Obligation: Where we need to comply with a legal or regulatory obligation.
Health and fitness data
The Dressage Coach processes health and fitness information in three distinct ways. It is important to understand the difference between them.
A. Health Connect and Apple Health data (Rider Performance): Where you choose to connect Android Health Connect or Apple Health, we read supported health and fitness categories on your device to provide Rider Performance Hub metrics, trends, recovery and readiness insights, and related rider-facing features. On Android, the categories we currently read through Health Connect are: active calories burned; exercise sessions and workouts; heart rate variability (RMSSD); hydration; nutrition; resting heart rate; sleep; steps; total calories burned; and weight.
Health Connect and Apple Health data is read on your device through the platform's health APIs. It is processed on your device to calculate Rider Performance metrics and insights. Raw Health Connect or Apple Health records are not uploaded to, stored on, or retained by The Dressage Coach servers. Aggregated Rider Performance snapshot or cache values derived from this data may be held locally on your device (for example in app storage such as SharedPreferences) until refreshed, cleared, app data is removed, or the app is uninstalled.
You can revoke Health Connect or Apple Health permissions at any time through your device settings and through the App's Rider Performance connection controls. Revoking access will stop further health data reads for Rider Performance.
B. Ride-generated health and fitness data: When you use Ride Tracking, the App may collect and store health and fitness information generated during the ride itself, such as heart-rate data and active energy or calorie information where available from your device or connected sensors, together with ride GPS route, distance, duration and other ride summary information. This information is persisted to your account as part of your ride history and is not the same as Health Connect data unless it originates from the same underlying source you have separately authorised.
C. User-entered Rider Performance goals and preferences: You may enter Rider Performance goals, targets and privacy preferences in the App. This information is stored to provide the Rider Performance features you use.
Health information shown by The Dressage Coach is for training, fitness and informational purposes only. It is not medical advice, diagnosis or treatment. We do not use Health Connect or Apple Health data for advertising or marketing and do not sell it.
Shared horses, coaches and care providers
Horse owners may grant other users access to horse information according to role and permissions. Authorised collaborators may view or contribute information only to the extent permitted for their role. Owners control sharing and may remove access. Information deliberately shared with another user will be visible to that recipient in accordance with the feature used.
Live remote lessons, video and communications
Live remote lessons may transmit audio and video between rider and coach using communications infrastructure used by The Dressage Coach. A live lesson is not automatically a permanent recording unless the feature clearly indicates recording. Coach-supplied follow-up videos, CoachFlow submissions, uploaded media, messages and coaching notes may be stored to provide the relevant service.
Location data
The Dressage Coach may access precise GPS location when you enable location permissions and use features that require location. We do not use location data for advertising or behavioural tracking.
Background location: The Dressage Coach may access your location while the App is not actively visible to you only while an active Ride Tracking session or an active EquiGuardian safety feature requires it. Granting background-location permission does not mean we continuously track your location when no relevant feature is active.
- Ride Tracking: While Ride Tracking is active, precise GPS location is used to record your ride route and support ride metrics such as distance. Location may continue to be accessed while the screen is off or the App is running in the background during the active ride so that route recording is not interrupted. Route points and associated ride information are stored in your account as ride history. Location collection for Ride Tracking stops when the active ride ends. You can stop Ride Tracking at any time by ending the ride.
- EquiGuardian: While an EquiGuardian safety feature is active (such as Safety Check-In, SOS or live location sharing), current or live location may be collected and may continue to update while the App is in the background where required by that feature. Location and safety information may be shared with trusted or emergency contacts you authorise for that feature. Depending on the feature, location may also be presented through secure or tokenised Safety Portal links. Not every contact in My Circle receives every location update; sharing is limited to the contacts and channels you select for the relevant safety or live-sharing feature. Live sharing and location updates stop when the relevant emergency or sharing feature ends.
- Other location uses: Where enabled, location may also be used for features such as venue finder. These uses are separate from Ride Tracking and EquiGuardian.
Safety check-in and SOS
Where you enable EquiGuardian, Safety Check-In or SOS, we may process your location, safety status, timestamps, selected My Circle contacts and information required to send the alert or check-in. SOS is manually initiated unless a feature expressly states otherwise. Location and safety information is shared only with contacts you select for the relevant safety feature. The Dressage Coach is not an emergency service and does not guarantee that an alert will be delivered, seen or acted upon. You can change My Circle contacts, end live sharing or emergency features, and disable relevant permissions through the App or your device settings.
Artificial intelligence, machine learning and automated analysis
Some features may use artificial intelligence (AI), machine learning, computer vision or automated analysis to assist with coaching analysis, interpreting competition information, estimating gait, generating summaries, identifying patterns or producing rider-facing insights. Depending on the feature, processing may involve videos, images, competition documents, ride information, training information, horse information, coaching information or other content you choose to submit or make available.
AI-assisted outputs are probabilistic and may be incomplete or inaccurate. They assist riders and coaches and are not veterinary, medical, emergency, legal or other professional advice. Where separate consent is required before analysing sensitive or broader cross-feature data, we will request it first.
We may use specialist technology providers acting on our instructions to provide AI or automated-analysis functionality. Such providers must process information only for authorised purposes and subject to appropriate safeguards. We do not sell personal data to AI providers. We do not use Apple Health or Health Connect data for advertising or marketing. Health-derived data will not be disclosed to an external AI provider unless permitted by applicable platform rules and data-protection law and any required express permission has first been obtained. We do not make decisions producing legal or similarly significant effects about you solely by automated means.
Sharing your personal data
We may share your personal data with the parties set out below:
Internal Third Parties: Professional coaches and administrators within The Dressage Coach.
External Third Parties: We use service providers to operate the App and website, which may include cloud hosting, database, storage, authentication, app-store billing and subscription management, live audio/video communications, email and notifications, diagnostics, security and error monitoring, and AI or automated analysis where used by an enabled feature. They may process only information necessary for their role and are subject to applicable contractual or platform safeguards.
We do not sell your personal data. We do not use Health Connect or Apple Health data for advertising or marketing, and raw Health Connect or Apple Health records are not uploaded to our servers. Ride and location information is not sold or used for advertising.
Where you use EquiGuardian safety or live-sharing features, location and related safety information may be disclosed to rider-authorised trusted or emergency contacts you select for that feature, and may be presented through secure or tokenised Safety Portal links where applicable. We do not share Health Connect data with those contacts.
International transfers
If we transfer your data outside the UK or EEA, we ensure a similar degree of protection is afforded to it by ensuring at least one of the specific safeguards approved by the Information Commissioner's Office (ICO) is implemented.
Data security
We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way. These include:
- Encryption: Account and service data held on our systems is encrypted at rest and in transit.
- Access Controls: Access to sensitive account, ride and location data on our servers is strictly limited to authorised personnel who need it to operate the service.
- Privacy Lock Centre: Where you enable biometric authentication (e.g., Face ID, Touch ID, or equivalent), biometric information is processed by your device operating system and is not stored by The Dressage Coach.
Data retention
We retain personal data only for as long as reasonably necessary for the purposes described in this policy and for applicable legal, accounting, security and dispute-resolution requirements.
- Account and service data: Retained while your account and service relationship exists as needed to provide the service, subject to limited legal, security and regulatory retention requirements.
- Ride history and ride routes: Retained as part of your account ride history until you delete the relevant ride or close your account, unless a limited legal or security retention requirement applies. You may delete individual rides through the App where that feature is available.
- EquiGuardian records: Safety alerts, check-ins, live-sharing sessions and related records are retained for as long as needed to provide the relevant safety feature, maintain an audit trail where appropriate, and meet applicable legal or security requirements. Live location sharing stops when the relevant feature ends; associated records are not retained longer than reasonably necessary for those purposes.
- Health Connect and Apple Health: Raw Health Connect and Apple Health records are not retained by The Dressage Coach servers. Aggregated Rider Performance snapshot or cache data derived from Health Connect or Apple Health may remain locally on your device until refreshed, cleared, app data is removed, or the app is uninstalled.
- Account deletion: You may request account deletion through the App. Account deletion initiates deletion of user-account data, ride history and associated data, subject to limited legal, security and backup retention where applicable. Backup systems may retain deleted information for a limited period before being overwritten in the normal backup cycle; backup data is not used for live processing.
Your controls
Depending on the feature, you can:
- Revoke Health Connect or Apple Health permissions through your device settings.
- Reset or disconnect the Rider Performance health connection through the App.
- Stop Ride Tracking by ending an active ride.
- Stop or end EquiGuardian live sharing or emergency features through the App.
- Delete individual rides from your ride history where the App provides that option.
- Request or initiate deletion of your account through the App.
- Exercise your UK GDPR rights as described below.
Your legal rights
Under certain circumstances, you have rights under data protection laws in relation to your personal data, including the right to:
- Request access to your personal data.
- Request correction of your personal data.
- Request erasure of your personal data.
- Object to processing of your personal data.
- Request restriction of processing your personal data.
- Request transfer of your personal data (Data Portability).
- Right to withdraw consent at any time.

Cookies and similar technologies
Our website and App use cookies and similar tracking technologies to distinguish you from other users. This helps us to provide you with a good experience and allows us to improve our platform. You can set your browser or device to refuse all or some cookies, but this may affect the functionality of the App.
